PolyAccounts

PolyAccounts user guide

Set up your next company’s books, understand the ledger, and bring your team and AI agents into the workflow.

Working with an AI agent? Start with the integration guide.

Quick start

  1. 1

    Create your account

Sign up with your email. Tell us whether the books are for a business, a law firm, or personal finances, and your workspace is created with a starter chart of accounts in your currency and language.

  2. 2

    Shape your chart of accounts

Open Chart of Accounts and rename, add, or retire accounts to match how you think about your money. Accounts group into assets, liabilities, equity, income, and expenses.

  3. 3

    Bring in your transactions

Import a bank CSV or connect a feed when available. The importer detects duplicates, matches transfers between your accounts, and remembers how you code each payee so the next import is faster.

  4. 4

    Invite your team

From the Users screen, send an email invitation. Your accountant or staff get their own login into the same books, with the role you choose.

  5. 5

    Work from live reports

Open the P&L or Balance Sheet and click any amount to see the entries behind it. Reports are always current because they read straight from the ledger.

What each area does

General Ledger

The heart of the system. Every entry is a balanced debit and credit with search, inline editing, splits, and undo.

Reports

P&L, Balance Sheet, Cash Flow, Trial Balance, Payees, and Charts. Compare periods, filter by entity, and export branded PDF or Excel.

Imports

Staged imports you review before posting. Duplicate detection, transfer matching, coding rules, and a full explain trail for every suggestion.

Cash

Cash position across accounts and a daily forecast built from receivables, payables, and recurring patterns, with shortfall warnings.

Budgets and forecasts

Seed a budget from last year, edit it in a grid, and track budget vs actual on the P&L. Model scenarios and promote one to a budget.

Billing

Time and expense capture, invoices, statements, receivables, payables, and trust accounting, all posting straight to the ledger.

Automation

Recurring billing schedules, statement emails, payment links, and approval thresholds that route big items to an admin.

Multi-currency

Home-currency books with foreign-currency clients and bank accounts, automatic FX gain and loss, and revaluation at close.

Close and controls

Reconcile bank accounts, lock closed months, follow a close checklist, and review every decision in the audit stream.

Team and portal

Email invitations, roles, entity-scoped employee access, and a read-only client portal in the client language.
